What the module does
Leases and renewals
A lease holds rent, deposit, payment day, notice period and term.
A renewal creates a new lease that starts the day after the old one and stays linked to it, and the old lease moves to renewed.
Rent schedule, invoice and ledger entry
The module generates the rent instalments for the whole term and skips the ones already there.
From a single payment you create the sales invoice and the matching ledger entry.
Service charge statement under §556 BGB
One annual statement per property
- costs are split by square metre
- persons
- units or consumption
- then set against the advance payments due or paid
The statement closes with a balance to pay (Nachzahlung) or a credit (Guthaben).
Heating costs under §7 HeizkostenV
Heating is divided into a consumption share taken from the meters (70 percent by default) and a floor area share.
The two parts stay separate in the statement and add up to the total to the cent.
Meters and readings
Water, electricity, gas and heating meters, per property or per unit, one reading per date.
A reading lower than the previous one is still saved, and a warning comes back with it.
Tenant change and vacant days
Every lease that overlaps the period gets its own row.
Days with no lease are counted as the union of the intervals, and their share stays with the owner on a line of its own.
Statement PDF and tenant letter
Two prints on the company letterhead: the statement for the property and the letter for a single lease.
The letter shows the allocation key, total consumption, the consumption of the unit and the days covered.
Rent reminders in three levels
The list of overdue instalments shows the level already issued for each one.
The next level produces a Mahnung as a PDF on the letterhead in four languages, and sending it by email sets the status to sent.
How the work runs
- Set up the property, the units and the lease, then generate the rent schedule for the full term.
- Record the payments: the invoice and the ledger entry come out of the payment, and overdue instalments go into the reminder list.
- Enter meter readings on the cut-off date, including at a tenant change during the year.
- Run the annual statement: allocation keys, advance payments, vacant days, balance or credit, plus the warnings on the twelve month deadline and on the consumption share.
- Print the property statement and the tenant letters as PDFs and send them yourself.
- Before the term ends, index the rent, renew the lease or record the termination.
Frequently asked questions
Which rules does the settlement follow?
German ones: §556 BGB for the service charge statement, §7 HeizkostenV for the split between consumption and floor area, and §12 HeizkostenV for the warning when consumption data is missing or the share falls outside 50 to 70 percent. Rent indexation covers both §557b BGB with the Destatis VPI and the Italian ISTAT FOI revaluation at the residential factor of 0.75.
What happens when a tenant moves out mid-year?
Each lease overlapping the period gets its own row with the days it covers. The days without a lease are counted separately and stay with the owner as their own line, so the statement adds up.
Can I send the statement to tenants from the module?
Not today. You generate and download the PDFs and send them yourself. Email sending exists for rent reminders, and it goes through the platform mail server.
